Privacy Policy
Last updated:
SnipNote records meetings, turns them into transcripts, and uses AI to produce summaries and action items. That means we handle recordings and their contents, which can be sensitive. This policy explains what we collect, where it goes, and how you can get rid of it.
You can use SnipNote without an Account. In Local mode, the default, your recordings are transcribed and summarised on your device and nothing you record leaves it. An Account is only needed for Cloud mode.
Who is responsible for your data
SnipNote is a personal project operated by Mattia Da Campo, acting as an individual data controller. It is not affiliated with any company. If you are in the European Economic Area or the United Kingdom, you have the rights described under "Your rights".
What we collect
- Account information, if you create an Account: your email address and the authentication identifiers created when you sign up. Authentication is handled by Supabase.
- Meeting content, if you have an Account: transcripts, AI-generated summaries and overviews, extracted action items, any meeting titles, locations, or notes you add, and the audio of recordings processed in Cloud mode. These are stored in your Account so they sync across your devices and the web app. Audio of recordings made in Local mode is not uploaded. If you use SnipNote without an Account, none of your meeting content leaves your device.
- Purchase and subscription information: transaction identifiers, subscription status, renewal state, and environment, received from Apple when you subscribe on iOS, or from Stripe when you buy on the web. We never see or store your card number.
- Minutes usage, if you have an Account: minutes of audio processed, processing duration, and the associated processing cost, which we use to operate the minutes-based pricing and to run the service.
- Anonymous usage data: which features are used, tied to a random ID created on your device and never to your Account. See "Anonymous usage data" below.
How your recordings are processed
SnipNote offers two transcription modes, and the difference between them matters for your privacy. You choose the mode in Settings.
- Cloud mode: your audio is uploaded to our storage (Supabase) and sent to OpenAI to be transcribed. Longer recordings are processed by our own transcription server at api.snipnote.app. The resulting transcript is then sent to OpenAI to generate the summary and action items.
- Local mode (the default): transcription runs on your device with an on-device speech model (Parakeet), and your audio is not uploaded to our servers. The model is downloaded once from Hugging Face, which hosts it; no recordings or personal data are sent with that download.
- Meeting analysis (summaries and action items) runs through Apple Intelligence on your device in Local mode, and through OpenAI in Cloud mode. If Apple Intelligence is not available on your device, a Local mode meeting keeps its transcript without a summary; it is never sent to the cloud instead.
- OpenAI processes this data as our service provider. We do not use your recordings, transcripts, or summaries to train AI models.
The SnipNote keyboard
SnipNote includes an optional keyboard for dictating text into other apps. iOS asks you to allow Full Access for it. The keyboard needs Full Access only to exchange messages with the SnipNote app through storage shared on your device. It contains no networking code and sends nothing over the internet.
The keyboard does not record, keep, or send what you type. When you dictate, the SnipNote app records through the microphone and transcribes your speech on your device with the Local mode speech model. While a dictation session is on, the microphone stays active so you can start dictating at once, but audio between dictations is discarded immediately. Dictation audio is never saved or uploaded, and the resulting text is kept on your device only until it is inserted or discarded.
Anonymous usage data
SnipNote collects anonymous usage data to understand which features are used and to fix problems, for example when you open the app, start a Local recording, or open a purchase screen. This data is tied to a random ID created on your device when you first use the app. It is not linked to your name, email, Account or Apple ID, and we cannot tell who you are from it.
We record the type of event, your app version, your iOS version (for example "iOS 17"), and a few general details such as a length range for a recording ("5 to 15 minutes"). We never include your email, recordings, transcripts, meeting names or any content you create.
We use this data only to improve SnipNote. We do not use it for advertising, we do not sell it, and we do not share it with other companies or combine it with data from other apps or websites to track you.
You can turn this off at any time in Settings > Share Anonymous Usage Data. When it is off, SnipNote sends no usage data and deletes the random ID. This setting does not affect Cloud mode, which needs your Account to process your recordings when you choose it.
We keep anonymous usage events for up to 400 days.
Who we share data with
We do not sell your personal data and we do not share it for advertising. We rely on a small number of service providers, each of which only receives what it needs:
- Supabase — authentication, database, file storage, and the anonymous usage events.
- OpenAI — transcription of audio and generation of summaries and action items, in cloud mode.
- Apple — subscription purchases and validation on iOS.
- Stripe — payment processing for purchases made on the web.
- Our own transcription server (api.snipnote.app), which processes longer recordings.
- Hugging Face — hosts the on-device speech model that SnipNote downloads for Local mode. It receives only the normal connection details of that download.
How long we keep it
Your meetings, transcripts, and summaries are kept in your account until you delete them or delete your account. When a recording has been processed successfully on our servers, the local copy on your device is removed automatically; the copy in your account remains available until you delete it.
Meetings made without an Account exist only on your device and are removed when you delete them or delete the app. Anonymous usage events are deleted automatically after 400 days.
Deleting your data
You can delete individual meetings at any time from within the app. You can delete your entire account, and the data associated with it, from Settings in the iOS app. Deleting your account removes your meetings, recordings, transcripts, and summaries. Turning off Share Anonymous Usage Data in Settings deletes the random ID used for usage data.
Your rights
If you are in the European Economic Area or the United Kingdom, you have the right to access your data, correct it, delete it, receive a portable copy, restrict or object to certain processing, and lodge a complaint with your local data protection authority. To exercise any of these rights, contact us using the details below.
Security
Data is transmitted over encrypted connections and stored with our infrastructure providers under their security controls. No system is perfectly secure, but recordings and transcripts are only accessible to your authenticated account.
Children
SnipNote is not directed to children and is not intended for use by anyone under 13. We do not knowingly collect personal data from children.
Changes to this policy
If we make a material change to how we handle your data, we will update this page and revise the date shown at the top.
